How useful is this policy?
In the same way as the protection of our employees, the confidentiality of the personal data of job applicants within Vygon SAS and its subsidiaries is a priority.
The data privacy policy is a clear demonstration of our desire to ensure compliance with the applicable data protection rules and, in particular, those of the General Data Protection Regulation ("GDPR").
This policy only applies to processing that we carry out ourselves and not to processing that may be carried out by external recruiters or recruitment sites.

Who is this policy aimed at?
The confidentiality policy applies to you as a candidate, during the recruitment process (e.g. application to a job offer, unsolicited application, etc.) whatever the duration or nature of the proposed contract.
Why do we process your data and on what basis?
As a recruiter, we are necessarily required to process your personal data for the purposes of managing recruitment (e.g. processing your CV, covering letter, interviews, assessing your suitability for the job offered, measuring your professional skills) and building up a CV library.
Processing is carried out on the basis of discussions we have with you during the recruitment process and our legitimate interest in recruiting and selecting suitable candidates for each position.
We undertake to process your data only for the purposes and on the grounds set out above.
What data do we process and for how long?
We have summarised below the categories of personal data that we collect directly from you, together with their respective retention periods.
● Personal and professional identification data and contact details (e.g. surname, first name, email address, telephone number, country of residence) kept for the duration of the recruitment process.
● Data relating to personal and professional life (e.g. training course, qualifications obtained, professional experience, driving licence if the position requires driving a vehicle, work permit if necessary) throughout the recruitment process.
● Economic and financial data (e.g. salaries, bonuses, etc.) throughout the recruitment process.
More generally, we will keep your CV for a maximum of 2 years after you apply, unless you instruct us otherwise at gdpr@vygon.com.
When the above retention periods expire, we will send you an e-mail asking for your consent to renew the retention period for a further 2 years. If you refuse, we will delete all your personal data in order to guarantee your confidentiality for future years.
The deletion of your personal data is irreversible and we will no longer be able to communicate them to you after this period.
However, if you are recruited, the data collected during the recruitment process is automatically transferred to your personal file and becomes subject to the Employee Data Confidentiality Policy.
In addition, in the event of a dispute, we are also obliged to retain all data concerning you for the duration of the case, even after the expiry of the retention periods described above.
What rights do you have to control the use of your data?
The applicable data protection regulations give you specific rights which you can exercise, at any time and free of charge, to control the use we make of your data.
● The right to request access to and a copy of your personal data, provided that this request does not conflict with business secrecy, confidentiality or the secrecy of correspondence.
● The right to rectify any personal data that is incorrect, obsolete or incomplete.
● The right to request the erasure ("right to be forgotten") of your personal data that is not essential for the proper functioning of our services.
● The right to limit your personal data, which allows you to photograph the use of your data in the event of a dispute over the legitimacy of a processing operation.
● The right to give instructions on what should happen to your data in the event of your death either through you or through a trusted third party or beneficiary.
For a request to be taken into account, it must be sent directly by you to gdpr@vygon.com. Any request that is not made in this way cannot be processed.
Requests may not be made by anyone other than you, and we may ask you to provide proof of identity if there is any doubt about the identity of the person making the request.
Please note that we can always refuse to respond to any excessive or unfounded request, particularly if it is repetitive.
Who can access your data?
We only share your data with people who are duly authorised to use it to provide you with our services. These are essentially our human resources staff and the team wishing to recruit a candidate.
How do we protect your data?
We implement all the technical and organisational means required to guarantee the security of your data on a day-to-day basis and, in particular, to combat any risk of unauthorised destruction, loss, alteration or disclosure of your data (e.g. secure access, antivirus, etc.).
Can your data be transferred outside the European Union?
As part of your duties and for human resources management purposes, we may transfer some of your data to our subsidiaries outside the European Union.
Naturally, we assure you that we take scrupulous care to provide all the appropriate and legal guarantees necessary to ensure the confidentiality and protection of your personal data for the duration of the processing operations requiring the transfer of personal data outside the European Union.

We may modify our privacy policy at any time in order to adapt it to new legal requirements and to new processing operations that we may implement in the future. You will of course be informed of any changes to this policy.
